We are currently looking for a candidate to join our team:

Administrative assistant

Reporting to the Deputy Director, Communications and Marketing, the successful candidate will be tasked primarily with supporting the Communications team in their daily administration, logistics and tools roll-out.


● Provide the Communications Division with administrative support: email/agenda management;
● Help the team implement and coordinate communication projects;
● Prepare mailing lists for email communication campaigns;
● Do photo research and, where needed, provide logistical support at photo or video clip production sessions;
● Call for bids, help coordinate requests to outside suppliers (translation, graphics, etc.) and ensure follow-up;
● Provide layout for various documents;
● Post content on the website, in the email software and on the mobilization platform: articles, newsletters, press releases, petitions, etc.;
● Coordinate the design and mailing of the monthly newsletter;
● Provide logistical and organizational support for events (press conferences, panels, general meeting, cocktail parties, employee gatherings, etc.);
● Help develop and update management tools (supplier inventory, templates, forms, reports, calendars, etc.);
● Prepare communication project records and preliminary work schedules;
● Keep Équiterre’s press review up to date;
● Keep the following statistics up to date: media appearances, website traffic, social media and the newsletter;
● Assist with budget tracking;
● Organize the filing and archiving of documents on the Équiterre server;
● Take notes at meetings;
● Respond to internal and external requests for information;
● Any other related tasks;
● Participate in the democratic life of Équiterre.


● Diplôme d’études collégiales (DEC) in administrative technology;
● 2 years of experience in similar duties;
● Perfect command of French (oral and written);
● Fluent in English (major asset);
● Good knowledge of office software (Excel, Word, PowerPoint, etc.);
● Good knowledge of email software (Courrielleur is an asset);
● Good knowledge of Google Analytics and Google Ad Grants, an asset;
● Well organized and able to multitask;
● Self-starter, good initiative and resourcefulness;
● Thoroughness and attention to detail;
● Ability to meet deadlines;
● Flexibility in performing tasks;
● Interest in Équiterre’s mission and knowledge of its primary issues.


● Start date: April 2020;
● Permanent, full-time position;
● 32 hours/week (flexible schedule);
● Salary according to Équiterre’s salary scale, based on education and experience;
● 3 weeks’ vacation + 2 weeks’ paid leave during end-of-year holiday season;
● Group insurance and group RRSP;
